Position Summary
This position operates in a team environment and requires excellent communication skills, as well as the ability to provide a high level of customer service to students, instructors, and guests both in person and over the phone. Key responsibilities include greeting and orienting visitors, assisting with student enrollment, supporting daily and weekly registration processes, and performing various administrative tasks. The role demands strong attention to detail and accuracy while working in an open office setting. This is a full-time approx. (40 hrs/wk), non-exempt hourly and benefits eligible position reporting to the Student Services Manager. Must be available to work weekends and holidays as needed and on a rotational schedule.
Position Responsibilities
- Greet & orient students, instructor & visitors to the Folk School.
- Answer inquiries and provide information about the Folk School and activities for the week.
- Process and edit registrations including emailing invoices and corresponding communications.
- Conduct weekly class registration packet setup for student/instructors and instructor end of week packets.
- Print student and instructor certificates.
- Respond to e-mail inquires.
- Collect student material fees including going to classes, procuring material fees from students in various forms of payment.
- Count, maintain and record student material fee payments for deposit and submitting payments to the finance department.
- Maintain and reconcile the cash box weekly.
- Coordinate the Folk School shuttle service for students and instructors, including collecting airline information, providing arrival details to the shuttle driver, sending shuttle information notifications to riders, and arranging lunch needs for Saturday shuttles.
- Assist in resolution of student class and housing conflicts.
- File student registrations and other necessary information.
- Assist in special events and events that are scheduled on campus throughout the year.
- Lead instructor and student orientations for weeklong and weekend sessions.
- Monitor and distribute student surveys to staff and instructors.
- Facilitate Monday campus and special group tours.
- Manage campus mail and lost and found.
- Other related duties as assigned by the Student Services Manager.
Education and Experience Requirements
- Minimum High School Diploma or equivalent, required.
- Proficient in Microsoft Office and using a computer and computer systems.
- Proficient using phones and phone systems.
- 2- 3 years knowledge of and experience in customer service.
- Prior office experience, preferred.
Position Skills/Aptitudes
- Possess good communication skills (written, verbal and listening).
- Requires a solid understanding and proficiency in basic math skills, including addition, subtraction, multiplication, division, and the ability to perform accurate calculations and data entry.
- Self-motivated, highly organized, detail oriented and able to multi-task.
- Ability to adapt to different situations and changing work processes to accommodate customer needs.
- Be reliable, act with integrity and honesty.
- The willingness to be a team player and assist as needed in Folk School administrative needs and operations.
- The willingness to learn, generate reports and enter data in the Folk School’s computer registration system – Configio.
Physical Demands
This position requires limited travel and the ability to drive a car. A current driver’s license is required. The position requires that the employee be able to walk unaided up and down hills and over uneven terrain, up and down stairs, bend, stoop, and have use of fine and gross motor skills. The work of this position frequently requires the use of hands to handle, or touch objects, tools, or controls. The employee must occasionally lift and/or move heavy objects or boxes, up to 20 pounds. While performing the duties of this job, the employee will stand and walk occasionally, and frequently sit and work at a computer for up to eight hours per day. Must be able to work weekends and holidays, as needed. This position requires fluency in English.
Pay And Benefits
The pay for this position is approximately $16.50/hr. The Folk School offers a comprehensive benefits package including health insurance, generous paid time off and two free classes annually.
